The Administrative Support V – Clerical Lead provides advanced administrative, operational, and financial support to the Calgary TB Clinic and the Alberta Provincial TB Program. Working with minimal direction, this role requires strong judgment, independence, and the ability to manage complex issues where guidelines may be limited. The ideal candidate is highly organized, self‑motivated, and thrives in a fast‑paced environment with multiple competing demands. They demonstrate leadership, discretion, adaptability, and a commitment to supporting efficient clinic operations. Key Responsibilities: Provide informal leadership to administrative staff, including assigning tasks, monitoring workflow, and planning coverage during absences. Act as a formal resource for administrative staff during orientation and ongoing support. Serve as an operational designate for the Manager Assistant by updating staff assignment templates, submitting timecards, and assisting with operational tasks. Track and reconcile timekeeping records, ensuring accuracy and compliance with policies and collective agreements. Act as backup for ordering and maintaining clinic supplies and inventory through Oracle/iProcurement. Support quality improvement initiatives, exposure management, and community outreach efforts. Prepare and finalize business documents such as agendas, minutes, correspondence, and reports. Manage confidential staff, financial, and operational materials with professionalism and discretion.

Required Qualifications:

Completion of post-secondary education (e.g. certificate in office or business administration).

Additional Required Qualifications:

Post‑secondary certificate in Unit Clerk, Medical Office Assistant, or an equivalent combination of education and healthcare administrative experience. Minimum 3–5 years of recent administrative experience in a hospital or clinical environment supporting management and clinical operations. Demonstrated experience managing complex workflows and collaborating with multidisciplinary teams. Intermediate to advanced proficiency with: Connect Care: Schegistrar, Referral Management, Template Builder, Front Desk. Microsoft Office Suite (Outlook, Word, Excel, PowerPoint, Teams, OneNote, Zoom). Infor WFM (timekeeping, scheduling). Oracle: ePeople, iExpense, iProcurement. Markview, eFacilities, iPHIS.

Preferred Qualifications:

Completion of Infor WFM/ESP timekeeping and approval courses. Strong understanding of collective agreements and how they apply to scheduling, timekeeping, and operational decision‑making. Excellent written and verbal communication skills. Proven ability to handle confidential and sensitive information with discretion.
